How to Choose a Captive Portal for a Hotel in India: 10 Questions to Ask
Most "best captive portal" lists are written for American hotels. An Indian hotel has different problems: SMS rules, foreign guests without Indian SIMs, CERT-In logs and the DPDP Act. These are the ten questions that separate the options.
Search for the best captive portal for hotels and you mostly find ranked lists written for hotels in the United States and Europe. They score products on social login, email capture and American hotel software. An Indian hotel’s guest WiFi has a different set of problems: SMS codes that must go through registered templates, foreign guests without Indian SIM cards, the CERT-In (Indian Computer Emergency Response Team) log directions, and India’s Digital Personal Data Protection Act, 2023. This guide is a checklist of ten questions to put to any vendor, with the reason each one matters, and our own honest answer for Wyfy Guest, including the ones where the answer is no.
The short answer: choose a hotel captive portal on ten things: whether it runs on your existing network hardware, OTP channels beyond SMS, a login route for foreign guests, how it handles your PMS (property management system), per-guest speed and device limits, session records, guest data privacy, multi-property management, staff roles, and a tax-inclusive price. Ask for a demo on your own router before you sign.
1. Does it run on the network hardware we already own?
Why it matters. Replacing routers and access points across a property costs far more than the software. Some platforms only work with their own hardware.
What to ask. “Will this run on our current router and access points? Which models have you set up before?” Ask them to prove it in the demo on your actual router, not a lab unit.
Wyfy Guest. It works with the routers and WiFi controllers hotels commonly already run, and our team does the setup. Tell us your hardware before the demo and we will confirm it.
2. Which OTP channels does it offer, apart from SMS?
Why it matters. SMS OTP in India depends on a sender and template registered on the DLT (Distributed Ledger Technology) platform, and on mobile signal, which is often weakest in exactly the rooms and basements where guests use WiFi. A second channel is how you stop “the code never came” calls to reception. How OTP WiFi login works explains why codes fail.
What to ask. “Can guests receive the code on WhatsApp or by email as well as SMS? Can I choose per property?”
Wyfy Guest. Yes. SMS OTP, WhatsApp OTP and email OTP, turned on or off per location.
3. How do foreign guests log in?
Why it matters. A guest who arrives from abroad often has no working Indian number on day one. If SMS is the only option, the front desk ends up reading out a password, and you lose the record of who used the network.
What to ask. “What does a guest without an Indian SIM do?”
Wyfy Guest. Email OTP, or a voucher code the front desk issues at check-in. Each voucher is a one-time code, so you still know which stay it belonged to. See vouchers and access control.
4. Does it connect to our PMS, and is that live today?
Why it matters. A PMS connection can let a guest sign in with room number and surname, and stop access at checkout. It is also the feature most often described in brochures and least often live for a given PMS.
What to ask. “Is there a live connector for our PMS, by name? Can we speak to a hotel using it?”
Wyfy Guest. Not today. Wyfy Guest has no live PMS connector. Hotels use OTP login for guests with Indian numbers and vouchers at check-in for everyone else. If a PMS connection is a must-have for you, tell us which PMS you run, and weigh that honestly against the rest of this list.
5. Can we set limits per guest, not just per network?
Why it matters. One guest streaming in 4K or backing up a phone can slow the whole floor. Per-guest limits share the line fairly, and a device limit stops one booking from bringing six devices.
What to ask. “Can we set a speed limit, a device limit and an idle timeout per guest? Do they apply on our hardware?”
Wyfy Guest. Yes, per-guest speed limits, device limits and idle timeouts, where your router or controller supports them. Which ones apply depends on your hardware, and we confirm that before setup. Per-guest speed and session limits explains each one.
6. What does it record about each session, and for how long?
Why it matters. CERT-In’s April 2022 directions require businesses to keep logs of their ICT (information and communication technology) systems for a rolling 180 days. Guest WiFi logs in India quotes the directions and explains how they apply.
What to ask. “Exactly which fields do you record? Do you record websites visited? Where is it stored, and what retention will you confirm in writing?”
Wyfy Guest. It records who connected (verified phone number, email or voucher), from which device, when, for how long and how much data they used, plus login attempts. It does not record websites visited. We do not publish a guaranteed retention period on this page, so ask us to confirm in writing what applies to your account.
7. How does it protect guest data?
Why it matters. Under the Digital Personal Data Protection Act, 2023, the phone numbers and emails your WiFi collects are personal data you are responsible for. A dashboard where every staff login can see every guest’s number is a risk.
What to ask. “Who on my staff can see guest phone numbers? Can I hide them? Where is the data stored?”
Wyfy Guest. Guest phone numbers and emails are hidden on the dashboard by default, and showing them in full needs the account owner to confirm with an OTP sent to their own phone or email. See guest data masking. Your own terms can be shown on the login page.
8. Can we manage several properties from one login?
Why it matters. A group with three hotels does not want three accounts, three sets of settings and three report formats.
What to ask. “Can each property have its own branding, login methods and limits, under one account?”
Wyfy Guest. Yes. Branding, sign-in methods and limits are set per location, and the group sees all of them from one account. See multi-location guest WiFi management.
9. Can front desk staff do their job without full access?
Why it matters. Reception needs to issue vouchers and help a guest who cannot connect. It does not need to change network settings for the whole hotel.
What to ask. “What roles exist? Can a receptionist issue vouchers without editing the login page or limits?”
Wyfy Guest. Staff accounts have roles, so you decide who can issue vouchers, who can change settings and who sees reports. Role-based staff access covers the details.
10. What will it actually cost, including GST?
Why it matters. Many hotels cannot fully claim back the GST (Goods and Services Tax) on software like this, so a price quoted “+ GST” is not the price you pay.
What to ask. “What is the all-in yearly price, including GST, for our number of properties and routers? What happens to the price in year two?”
Wyfy Guest. Pricing is quoted per property, based on locations, routers and support level. See our plans. Ask us for the figure including GST. What the product does for a hotel, in one place, is on hotel guest WiFi with Wyfy Guest.

Common questions about hotel captive portals in India
What is the best captive portal for a hotel in India?
The one that answers the ten questions above well for your property. For most Indian hotels the deciding points are OTP channels beyond SMS, a login route for foreign guests, per-guest limits that work on the hardware you already own, and session records you can rely on. Ask for a demo on your own router before deciding.
Do Indian hotels have to use OTP for guest WiFi?
No rule we know of names OTP specifically. Hotels are expected to be able to say who used their network and to keep logs. An OTP login ties each session to a verified number, which a shared password cannot.
How do hotels give WiFi to foreign guests without an Indian number?
With email OTP or a voucher code issued at check-in. Both identify the guest’s session without depending on an Indian SIM.
Does Wyfy Guest integrate with hotel PMS software?
Not today. Wyfy Guest has no live PMS connector. Hotels using it rely on OTP login and front-desk vouchers.
Can I keep my existing hotel WiFi routers?
Usually, yes. Wyfy Guest runs on the routers and controllers hotels commonly already use. Tell us your hardware and we will confirm it before setup.
